Appeal Procedure
Standard Operating Procedure for Grade Appeal
Students have the right to submit a grade appeal regarding the final grade of a particular course, provided that the appeal is supported by valid and accountable reasons. The purpose of this grade appeal mechanism is to ensure fairness, transparency, and accountability in academic assessment. The grade appeal process consists of three stages, as follows:
a. Stage I Appeal
Prior to submitting an objection to the semester examination grade announced through the Academic Information System (SIMAK), the student must first consult with their Academic Advisor (Pembimbing Akademik/PA) by presenting sufficient evidence supporting the dissatisfaction with the assigned grade. Such evidence may include, but is not limited to, class attendance records, examination results, assignment scores, and the final grade received.
Following the consultation, the student may submit a formal appeal to the course lecturer within 3 × 24 hours after the examination grade has been officially announced. The appeal must be accompanied by the supporting evidence referred to in Point (1).
The course lecturer shall review the student's final grade together with all supporting academic evidence no later than 2 × 24 hours after receiving the appeal.
If the appeal is accepted, the lecturer is required to recalculate the student's final grade. If the appeal is rejected, the student may proceed to Stage II Appeal within 2 × 24 hours after the rejection has been communicated.
If the appeal is accepted and the recalculation results in a change to the previously assigned grade, and the revised grade is accepted by the student, the lecturer shall report the revised grade to the Study Program for updating in the student's SIMAK record. The outcome of this stage must be documented in an official Grade Revision Report signed by both the lecturer and the student, and submitted no later than 2 × 24 hours after the report has been signed.
If the student remains dissatisfied with the revised grade, the student may continue to Stage II Appeal.
b. Stage II Appeal
If the outcome of Stage I Appeal is not acceptable to the student, the student may submit a Stage II Appeal to the Head of the Study Program (Koordinator Program Studi/Kaprodi) by attaching the evidence required in Stage I together with the grade determined during the Stage I Appeal. This appeal must be submitted within 2 × 24 hours after the Stage I Appeal decision has been announced.
The Head of the Study Program shall examine the submitted documents and facilitate a mediation meeting involving the student, the course lecturer, and the Academic Advisor within 2 × 24 hours after the Stage II Appeal has been filed. At this stage, the Head of the Study Program serves as an impartial mediator and is expected to facilitate a resolution so that the appeal process concludes at this level.
If, following mediation, the revised grade is accepted by the student, the lecturer shall report the revised grade to the Study Program for updating in the student's SIMAK record. The final outcome shall be documented in an official Grade Revision Report signed by both the lecturer and the student and approved by the Head of the Study Program. This process must be completed within 2 × 24 hours after the report has been signed.
If the revised grade determined during Stage II is still not acceptable to the student, the student may proceed to Stage III Appeal.
c. Stage III Appeal
If the outcome of Stage II Appeal remains unsatisfactory, the student may submit a Stage III Appeal to the Dean through the Vice Dean for Academic Affairs and Planning (Vice Dean I). The appeal must be accompanied by the evidence required in Stage I, together with the grades determined during both Stage I and Stage II Appeals. The appeal must be submitted within 2 × 24 hours after the Stage II Appeal decision has been announced.
On behalf of the Dean, the Vice Dean for Academic Affairs and Planning shall review the submitted documents and facilitate a meeting involving the Head of the Study Program, the Academic Advisor, the course lecturer, and the student to resolve the student's objection. This process shall be conducted within 2 × 24 hours after the Stage III Appeal has been submitted. At this stage, the Vice Dean serves as the final decision-maker regarding the student's grade.
Once the revised grade has been determined by the Vice Dean for Academic Affairs and Planning, the student shall be given the opportunity to select one grade from all grades resulting from the appeal stages. The grade chosen by the student shall become the final grade and shall be final and binding.
The lecturer shall report the final revised grade to the Head of the Study Program for updating in the student's SIMAK record. The final outcome shall be documented in an official Grade Revision Report signed by the lecturer and the student and approved by both the Head of the Study Program and the Vice Dean for Academic Affairs and Planning. This process must be completed within 2 × 24 hours after the report has been signed.
Stage III Appeal constitutes the final level of the grade appeal process available to students. If the student remains dissatisfied with the outcome of the appeal, they may submit a complaint through the Faculty of Economics and Business, Udayana University Complaint and Grievance Service (LAPAK) at lapak.febunud.id.
